# New Crew Member Onboarding

## **User Setup Guide: Okta (MFA)** <a href="#h_01j6sd44kp4jppq66401w27wzs" id="h_01j6sd44kp4jppq66401w27wzs"></a>

Okta is a Multifactor Security application which allows access to your workstation and VPN via the Okta Verify app. Please follow these steps to setup your Okta user account for the first time. This app is required for all Crew member logins associated with the Artist Anywhere platform.

A welcome email will be sent your email address, asking you to activate your Okta account:

Please click the “Activate Okta Account” button which will take you to the Okta Setup webpage. Here you will be asked to set up Okta Verify, set a password, and select a security question.

Before proceeding, please install the Okta Verify app on your mobile phone from either the Apple App Store or the Google Play Store. Once done, click “Set up” under Okta Verify. Launch the Okta Verify App on your mobile phone. Click the **+** sign to add an account. Select Organization » Skip » Yes, Ready to Scan. Hold your phone camera up to the QR Code to scan the code and complete the process.

Once successfully scanned it should return you to the Security Methods page. Click the “Set up” button under Password, enter the password that you would like to use that matches the show requirements, and click “Next”.

Once your password is successfully registered it should return you to the Security Methods page. Click the “Set up” button under Security Question and then choose the security question and answer that you would like to use and then click “Verify”.

Congratulations! You are now configured to use the Artist Anywhere Platform and will see the Okta Apps Dashboard similar to below:

## Remote Workstation Login Guide: HP Anywhere <a href="#h_01j6sd44kp368gzej48ydg37d7" id="h_01j6sd44kp368gzej48ydg37d7"></a>

HP Anywhere is a remote desktop application which is used to access your Artist Anywhere Workstation. Please install HP Anywhere on your computer by navigating to [**Teradici Cloud Access Software**](https://docs.teradici.com/find/product/hp-anyware) and downloading the PCoIP Clients Software for either macOS or Windows.

A navigation pane will appear on the right side, please select “Downloads and Scripts”, scroll to the bottom of the agreement, and then accept the user agreement. You can then select the “Download Now” button and install the application.

Once HP Anywhere is installed, please run the “PCoIP Client” from the Launchpad on macOS or from the Start menu in Windows (you may need to authorize the application by providing your computer password). Once the application has been run once, you may close it.

Open the Artist Anywhere Prod Portal by using your web browser to navigate to [portal.artistanywhere.io](https://portal.artistanywhere.io/) and signing in using your Okta credentials. Once logged in, select the Workstations page from the navigation column on the left and then click the “running man” icon next to one of the available workstations that you’ve been assigned to.

Enter your username and password and then click “Connect”.

**Username**: firstname.lastname

**Password**: Your Okta password

You will then be asked to provide a Passcode. Press the “Send Me a Push” button then check the Okta Verify app on your mobile device. Select the “Yes, it’s me” option to sign‐in.

You will then be connected directly to your workstation. Congratulations! You are now logged into your remote workstation.

## Accessing the Network Storage: AA-Prod <a href="#h_01j6sd44kqz210j3frvenhzsjz" id="h_01j6sd44kqz210j3frvenhzsjz"></a>

### **For MacOS**

1. Please navigate to Finder » Go » Connect to Server…
2. Type in smb://pixstor‐01.p**XYZ**.artistanywhere.io/aa-prod then click Connect
3. Enter your user credentials:
   * Username: firstname.lastname
   * Password: (Your Okta Password)
4. Click the checkbox for “Remember this password in my keychain” and then click Connect
5. You are now connected!

### **For Windows**

1. In File Explorer, type or paste \\\pixstor‐01.p**XYZ**.artistanywhere.io into the address bar and hit enter
2. Enter your user credentials:
   * Username: firstname.lastname\@p**XYZ**.artistanywhere.io
   * Password: (Your Okta Password)
3. Click the checkbox for “Remember my credentials” and then click OK
4. Right click the share named “aa-prod” and select “Pin to Quick access” to save the share for quick access
5. Double click the “aa-prod” share
6. You are now connected!

## Artist Anywhere Tailscale Setup Guide

Tailscale is a VPN app that allows you to connect to Artist Anywhere network. Please follow\
the steps below to set up your account.

1. Download and install the Tailscale app for your operating system from the\
   <https://tailscale.com/download> page.
2. Once the app is installed, it will take you to the login page.

3. Type your Artist Anywhere username and click Sign in.
4. This will redirect you to the Okta Account Login page

5. Login with your Artist Anywhere username and password, which will send you a

   push notification on your mobile phone

6. After successfully logging in to Okta, you will see the App on your computer taskbar

   menu.

## Artist Anywhere SMB over VPN

### Prerequisites:  <a href="#prerequisites" id="prerequisites"></a>

* Tailscale is installed and configured on your machine.&#x20;
* Your project code, eg. `P058`

### Steps: <a href="#steps" id="steps"></a>

1. On macOS, open the Finder App and select the `Connect to Server` option from the Menu, or use the shortcut `CMD+K`&#x20;

2. In the connection field, type your `smb://smb.p000.artistanywhere.io`, replace `p000` with your project code.<br>

3. You will get a pop-up like this that you are trying to connect to a storage. <br>

4. Click on the Connect button, and it will ask you for your username and password. Select the Registered User toggle and type your Artist Anywhere username and password.<br>

5. Select the `aa-prod` mount and connect. <br>

6. You should be connected to your network drive via SMB over VPN now. <br>
